Using personal devices at UiO for work

Bringing your own device to UiO for use in your work requires proper configuration and use of the device.

If you wish to use your personal device for work at UiO, you and your device must adhere to the data storage guide at UiO. In brief, to be used in any way with unpublished research, employee evaluation, grading or other student interactions or evaluations, the device must be fully encrypted and properly secured. Most operating systems and devices support this today, but unfortunately some devices, like ReMarkable, do not. As such, these devices cannot be used for the purposes listed above at UiO.

Please note that not adhering to the storage guide is a gross violation of UiO IT security and that the consequences may be harsh both for the individual in question and the surrounding organisation.

For cloud storage, similar regulations apply. In addition, for work such as that listed above, UiO must have a data processor agreement with the service in question and it must be approved by UiO for use. This is not a judgment that is done on a case-by-case basis, nor is it up to the employee themselves to evaluate the service. The primary supported services at UiO are:

  • Microsoft OneDrive with UiO login.
  • A UiO-bound Dropbox account (this is *not* the same as your personal Dropbox account while using your UiO email). If you have an existing account you will have to transition the account and all shares/links you already have.
  • Google G-suite.

For more information about these services, see the following page from central IT  (only available in Norwegian as per now). There is also a document showing the evaluation process for cloud services (also only in Norwegian).

Also note that UiO has data policy agreements with other cloud services (as distinct from cloud storage providers), and this covers amongst others services such as Overleaf. We also have a local GitHub Enterprise installation, https://github.uio.no, that allows for green and yellow data. https://github.com only allows for green data.
